Working within the Activities Team to empower, support, train and develop our volunteer student leaders in providing a wide and diverse range of activities for their peer at the University.
Main Duties and Responsibilities include:
Student Group Administration
• To work with and develop student group financial criteria and liaise with the Finance Department to ensure all financial details of all student groups are up-to-date and expenditure is monitored.
• To monitor and proceed with Student Group Financial Requests, including but not limited to examining submitted receipts or invoices, and to provide further financial guidance to the student group when required.
• To work with SU Finance to ensure student group financial requests are being processed efficiently and in accordance with the regulations.
• To ensure that student groups have the necessary knowledge/tools available to them so that health and safety and the relevant statutory requirements of student activities are adhered to.
• To monitor and support student group sponsorship activities, including checking and approving agreements submitted by student groups.
• To work with the Student Opportunities Manager to ensure student group regulations and documents, including but not limited to Affiliation Document, Refund Policy, Grant Funding Application Guidance, New Student Group Application guidance and Sponsorship Guidance, are reviewed.
• Review the affiliation documents submitted, especially on constitution, by student groups and provide further guidance when required.
• Work in accordance with the Students’ Union Equalities Policy, Freedom of Speech Legislation and Charity Commission Guidance by monitoring, assessing and advising student leaders on the suitability of guest speakers.
• To develop and support the Student Group Accreditation/Development Scheme in collaboration with the Senior Student Activities Coordinator
• Maintain profiles of developmental activities available to the student leaders and coordinate the updating of student group constitutions and codes of practice.
• Responsible for projects that contribute to the Activities Departmental objectives, which may include planning and running events, developing a survey, preparing secondary research information, and preparing information on changes to regulations and rules.
• To coordinate Student Group Elections, including annual main elections and by-elections throughout the academic year, with the use of the Students’ Union membership management system, MSL.
• To develop and renew the Student Group Elections regulation and handbook
• To ensure the membership of the student group committee members and members is accurate and provide assistance when required.
• To ensure student group membership fees are set correctly and are updated when required.
• Work with and support the Student Opportunities Manager in coordinating the development of effective and efficient procedures.
• To work with the Student Opportunities Manager and initiate projects to promote and enhance student group engagement, including but not limited to increasing the number of student group members, increasing the number of student groups.
• To work with the Student Opportunities Manager and Voice department to promote and support the growth of academic societies.
Support for Societies Council
• Continue to develop and support Societies Council, including but not limited to supporting the documentation and communication of Student Group Grant Funding Application and New Student Group Application.
• To communicate between the council and the department regarding significant changes and new regulations related to student groups and committee members' development
• To communicate with student groups regarding application results and provide further guidance and support on future applications if required
Reporting and Data Management
• Regular reporting of Grant Funding Application data, examples include, but are not limited to:
o No. of applications received
o No. of application approved
o No. of the amount approved
o No. of the amount spent
• Track and report the impact of student activities that are supported by a grant funding application.
• Keep the Student Opportunities Manager informed about Grant Funding and updated on these same figures when requested to support reporting to Executive Officers and the Trustee board.
• Regular reporting of New Student Group Application data, examples include, but are not limited to:
o No. of applications received
o No. of application approved
o No. of approved applications completed affiliation
• Track and report the development of the new student groups and support the new student groups for growth
Departmental Support and Communication
• Work with the Student Opportunities Manager to coordinate, mentor and provide comprehensive direction and guidance to the Student Activities & Volunteering Assistant, and other student staff when required.
• Work with the team members to ensure that appropriate training, development and monitoring plans are in place for Student Group Committee Members.
• Provide information relating to the department, work for key reports and meetings.
• Contribute to strategic and operational planning discussions by putting forward ideas for improvements to the service.
• To work with all team members and the Marketing Team, ensure communications are coordinated on all departmental platforms for important updates, including maintenance and updating of the webpages, newsletters, social media output and utilising platforms where possible. Further develop the communications to enhance student groups’ understanding of the department's processes.
• Increase the overall student awareness of and engagement with student groups throughout the academic year.
• Work alongside internal and external organisations to enhance the services provided by the Students’ Union and, where appropriate, adopt best practices of other groups to suit our needs.
• Support and assist with the wider student campaigns advocated by student groups, enabling them to create change.
Health and Safety
Be aware of, and at all times comply with, all relevant policies and procedures and all relevant statutory responsibilities including fire safety arrangements, Health and Safety issues including moving and handling, COSHH regulations, etc.
General
• Be required at all times to develop and maintain positive working relationships with colleagues, students, contractors, external stakeholders and all other individuals they come into contact with in the course of their duties.
• Maintain at all times any confidential or sensitive information they are privy to in the course of their duties which must not be shared with any unauthorised person unless expressly permitted to do so.
• Conform at all times to LSU Policies and Procedures with close attention being paid to GDPR, Equal Opportunities and Equality & Diversity.
• Be flexible and adaptable where necessary in order to meet the ongoing service needs of Leicester Students’ Union.
• Carry out any other reasonable duty requested of them as appropriate within the parameter of their role.
